Open Email – The better communication paradigm

Email inboxes are silos. Let me explain what that means. While I know what content is sitting in my own email inbox, I have absolutely no idea what is there in the email inboxes of my colleagues. A lot of what is in the inboxes of my colleagues is actually directly relevant to me.

Some examples of content that is in my colleague’s inboxes that can be useful to me are:

1. Email conversations with a customer that I now have to work for or handle a query from
2. Answer to a question that one of my colleagues has already discussed in the past
3. Resumes that a colleague has considered in the past for a vacant position in my company that I am working to fill

I should have access to what is relevant to me, but the only way that is possible with email is for me to be CC-ed or Forwarded on emails. But then CC and Forwards create their own problem – email clutter – the effects of which are very far reaching.

So when it comes to email conversations happening in my company, there is this massive blind spot for me and everyone else in my company. This blind spot makes finding the right information tedious or even impossible in many cases.

That brings me to think, it should be great if me and my colleagues could ‘share’ email conversations we are having, without having to draw everyone into the conversations by CCing or Forwarding them. Why isn’t there something which will let me have my email conversations with people that I want to talk to, and at the same time, make these email conversations available to the people in my company when they need it.

Its a simple, but powerful idea. Why can’t email be more open – why does an email need to be confined to the inboxes of the people involved in the email conversation. Why can’t the email become available to the people in my company who might find it useful.
